Travel insurance

If you are going on a business trip abroad, remember to bring an insurance card.

Contact the administrative employee handling travel in your department to obtain an insurance card that you can take with you on your trip and read more below so that you are prepared in the event of an accident.

Business travel insurance at AAU is part of the state's self-insurance, which is administered by Europæiske.

GEOGRAPHICAL AREA

The business travel insurance only applies to trips abroad – including Greenland and the Faroe Islands.

PERSONAL CIRCLE

Business travel insurance covers all employees at AAU, as well as the group of people defined in "Rules on business travel insurance"

Travel covered by the business travel insurance scheme:

All business trips abroad, where AAU fully or partially pays the expenses of the trip, are covered by the scheme.

INSURANCE CARD

Before starting a business trip, the traveler must be provided with an insurance card with data entered, cf. Instructions for business travel insurance. Together with the insurance card, the traveler must be provided with a claim guide, receive information about the European hotline for psychological advice, as well as about the Voyager Information Portal.

THE INSURANCE CARD MAY NOT BE USED FOR PRIVATE TRAVEL

If part of the journey is not official, private insurance (ie at the employee's own expense) can be taken out, e.g. at Europæiske via Europæiske's website: www.europaeiske.dk

DISTRIBUTION OF INSURANCE CARDS

The insurance cards are distributed to institutes, departments, study boards, AUB and additional cards can be requested from the Travel Office.

Note: employees on a business trip without a travel account card are also covered by the insurance. However, the card ensures documentation towards third parties. in case of accident, damage, etc.

REPORTING OF DAMAGES

Reporting of damage is done via Europæiske's website under the item "Report damage". In connection with step 4 of the notification – 4. Confirmation – an email is sent to the Travel Office at: oea-rejsekontoret@adm.aau.dk, when the Travel Office has responded to this, it is attached as confirmation.

WHAT DOES BUSINESS TRAVEL INSURANCE COVER?

The insurance covers the following:

  • illness and transport home
  • medical malpractice
  • medical accompaniment/summoning
  • trip interruption
  • general accident insurance
  • special accident insurance
  • baggage delay
  • luggage

INSURANCE INSURANCE TAKEN BEFORE 1 JANUARY 2006

Insurance policies for which premiums have been paid until 1 January 2006 or later continue under the insurance terms taken out at that time.

Supplement to travel insurance in connection with long-term research stays in the USA

More and more universities in the USA are demanding that visitors on research stays take out a medical insurance in order to be allowed to research at their university.

To insure that AAU can send employees, e.g. PhD students, on a long-term research stay in the USA, the university has made it mandatory for departments to take out medical insurances on their employees, provided that it is a documented demand from the university in question.

As always when travelling abroad, employees must also carry with them an insurance card from Europæiske Travel Insurance.

Furthermore, when travelling in the USA employees must carry with them a statement from Europæiske Travel Insurance. This statement confirms that they are insured through Europæiske Travel Insurance.

The documentation from the university must be attached to the travel report or if paid through the accounts payable department the same documentation must be attached to the invoice.
